Job Description

Summary

The Internal Service Advisor plays a critical role in supporting the service department by managing internal repair orders and coordinating vehicle reconditioning processes. This position partners closely with sales, service, and parts teams to ensure vehicles are inspected, repaired, and frontline-ready in a timely and cost-effective manner. Success in this role requires strong organization, communication, and the ability to keep multiple workflows moving efficiently.

Duties and Responsibilities

  • Manage internal repair orders (ROs) for used and new vehicle inventory, ensuring timely processing and completion
  • Coordinate reconditioning efforts between service technicians, parts department, and sales team
  • Monitor vehicle status from intake through completion, ensuring deadlines and quality standards are met
  • Communicate updates to sales managers regarding vehicle readiness and repair timelines
  • Review and approve repair recommendations with a focus on cost control and efficiency
  • Ensure accurate documentation of all work performed, including parts, labor, and notes in the RO
  • Track and prioritize workload to support inventory turn and minimize downtime
  • Assist with warranty submissions and internal billing processes as needed
  • Maintain compliance with dealership policies, safety standards, and OEM guidelines
  • 1+ year of experience in an automotive service advisor, service drive, or dealership operations role preferred
  • Strong understanding of repair orders, parts, and service workflows
  • Excellent organizational skills with the ability to manage multiple vehicles and deadlines simultaneously
  • Effective communication skills with both technical and non-technical team members
  • Ability to work in a fast-paced, high-volume dealership environment
  • Valid driver’s license with a clean driving record
  • Must be able to pass pre-employment screenings (background, drug test, and MVR)
  • Must be authorized to work in the United States

Preferred Qualifications:

  • Previous experience in an internal or used car reconditioning role
  • Familiarity with dealership management systems (DMS) such as CDK, Reynolds & Reynolds, or similar
  • Knowledge of basic vehicle maintenance and repair processes
  • Proven ability to manage priorities and maintain attention to detail under pressure
