Job Description
POSITION SUMMARY
This position is responsible for processing and reviewing retail installment contract funding documentation to ensure proper completion and accuracy using the respective lending institution guidelines in a timely and accurate manner to assure a high level of customer satisfaction while satisfying the policies of Black Hills Harley-Davidson (BHHD).
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Break down and organize all paperwork in each sales deal; check for completeness (Signatures, down payment, verify VIN, etc.)
- Maintain organized filing system for all deals and paperwork.
- Verify and post contract funding in the appropriate GL accounts.
- Process Payoff checks for trade-ins and mail them to the appropriate financial institutions promptly.
- Route paid deals to the title clerk for processing.
- Work accurately within lending institution, state and corporate guidelines.
- Answer customer inquiries or concerns in person, e-mail, fax or telephone in a professional, customer- focused and timely manner (within the same day if possible).
- Maintain a professional, calm manner when negotiating with difficult or upset customers, lenders or employees, both internal and external.
- Maintain a high level of confidentiality.
- Contributes to and encourages others to demonstrate a team focused, values based, service culture throughout the company.
- Contributes to effective operations by providing support where and when needed on sale/customer promotion dates.
- The ability to perform these duties in a timely and urgent manner to meet agency deadlines and exceed customer expectations.
- Will cross-train with others in the department to cover in times of peak volume and/or scheduled and unscheduled absences.
- Will help the accounting and administrative office with general bookkeeping, accounting and account reconciliations as needed.
- Performs other duties as assigned or requested to assure optimum service levels.
SUPERVISORY RESPONSIBILITIES
Temporary seasonal staff as needed.
QUALIFICATIONS AND REQUIREMENTS
EDUCATION AND/OR EXPERIENCE
This position requires a high school diploma or equivalent and a minimum of one- year office experience, or an appropriate combination of experience and education. The position requires office skills including personal computer, Microsoft products (Word, Excel, and Outlook), 10-key and the ability to operate other office equipment. Experience with retail contract funding is preferred.
LANGUAGE SKILLS
Requires the ability to read, write, communicate, and interpret accurately in English. This position requires the ability to read and write reports, business correspondence and desk procedures. Employee must demonstrate the ability to interact tactfully and positively with customers, vendors, BHHD staff and management.
REASONING ABILITY
This position requires the ability to apply common sense understanding to carry out instructions furnished verbally or in written form. The ability to deal with problems involving several variables in standardized situations is essential. The ability to use sound judgment when faced with complex circumstances is necessary.
LICENSES/CERTIFICATION
Notary designation is preferred.

- Ability to work flexible schedule with the potential of high amounts of over-time during peak seasons and events such as during and after the annual Sturgis Motorcycle Rally in August including rotational shifts to cover Saturday and Sunday business hours when the dealership is open on the weekends.
