Job Description:
We are looking for an Administrative Assistant for this location. The Administrative Assistant will perform a wide range of accounting tasks and duties while learning the methods, processes, and procedures of our accounting functions. He/she will oversee the structure and set-up of all necessary accounts for our Parts/Service/Sales departments in order to control expenses and accounting to the overall operation.
What You’ll Do:
- Performs general accounts receivable and accounts payable functions
- Prepares and submits customer invoices to the Corporate Processing Center
- Verifies receipt payments and prepares to send to the Corporate Processing Center
- Coordinates deposit activities with the Corporate Processing Center
- Monitors customer accounts for non-payment and delayed payments as instructed by the General Manager or Corporate Processing Center
- Checks, verifies, and processes invoices
- Prepares invoices for the approval process prior to sending to the Corporate Processing Center
- Sorts, codes, and prepares accounts payable data for the Corporate Processing Center
- Checks, verifies, and processes repair orders and maintains the accuracy of total vehicle cost
- Tracks and audits petty cash
- Assists with employee expense reports
- Performs filing and general administrative tasks as needed
- Works with other departments/customers/vendors and the Corporate Processing Center as needed
- Performs other duties as assigned
What We’re Looking For:
- High school diploma or GED and experience in a similar position (accounting, administrative, clerical etc.)
- Must be at least 18 years old
- Excellent communication skills, verbal and written
- Helpful attitude and friendly demeanor
- Basic knowledge of Microsoft Excel, Word, and Outlook software
- Knowledge of general record keeping and filing systems
- Knowledge of basic mathematics
- Ability to add, subtract, multiply, and divide mathematical figures using a calculator (10 key)
- Ability to meet schedules and deadlines
- Ability to operate standard office equipment
